There is more to integrations than just making systems talk to each other, writes Hector Melendez, Technical Director at Traka Americas.

Every security director has heard it, and every vendor has said it: “Our system fully integrates with X.” It sounds reassuring, but it almost always raises more questions than it answers.

After years of working with organizations across a variety of industries on key and asset management, I’ve come to believe “integration” is one of the most misused terms in physical security.

It’s not because vendors are being dishonest, but because the question being asked is the wrong one.

And in an application where the stakes of a wrong answer can mean a compromised facility, a failed audit or a response that comes too late, asking the right question matters.

Stop asking “does your system integrate?”

The default procurement question is simple: does your system integrate with what we already have? It’s a reasonable starting point. But it stops too soon.

A system can technically integrate with another platform and still leave your team doing manual work every time a change is required.

Full management from a single interface is vastly different from managing specific attributes and objects within that interface.

Both qualify as “integration.” Only one delivers the operational value most organizations are actually looking for.

The better question: “If we need to do the following, can your system support it via integration?”

That shift, from a generic capability check to a process-specific one, changes everything. It forces the conversation into real-world workflow.

It surfaces limitations before contracts are signed. It puts the vendor on record about what the system can actually do in your environment, not in a demo.

And it dramatically increases the likelihood that the investment will pay off. This isn’t a minor reframe. It’s the difference between buying a capability and buying an outcome.

The cost of getting it wrong

Organizations are managing more systems, more users and more data than ever, often with the same headcount. When those systems don’t communicate, the burden falls on people.

A new employee gets onboarded across three platforms manually. A report requires pulling data from each system separately and reconciling it. An access credential gets updated in one place and missed in another.

The errors compound. The time adds up. And when something goes wrong – an incident, an audit, a forensic investigation – piecing together what happened across disconnected systems slows resolution at exactly the moment speed matters most.

An integrated platform collapses that timeline. All data exists in one place. Alerts trigger across systems simultaneously.

A potential incident involving a camera, an access point and a key cabinet surfaces as a single notification rather than three separate data points someone must connect manually.

That’s not a theoretical efficiency; It’s the difference between a 15-minute response and one that takes two-minutes.

For organizations in regulated industries, the stakes are even higher. Audit trails need to be complete, consistent and defensible.

When data lives in disconnected systems, gaps appear. Those gaps create risk, and they create liability.

What it looks like when you get it right

One deployment stands out as a clear example of what’s possible when the technology is used to its full potential. A large utility provider managing a fleet of over 10,000 vehicles needed a smarter way to handle reservations and access.

HR records, vehicle registries, service tickets, service intervals and user permissions all lived in one internal platform. The problem: managing who could access which vehicle, and when, still required manual coordination across teams.

Using Traka’s REST API, the provider integrated TrakaWEB directly into their existing platform. Daily and weekly vehicle reservations are now generated automatically, tied to each employee’s existing badge credentials.

The system verifies driver’s licenses and confirms permits for specific vehicles or heavy machinery – all without a middleman.

What made this work wasn’t the scale; it was the approach. They didn’t ask if Traka integrated with their system. They described exactly what they needed the integration to do, and we built to that requirement.

The result was a solution that was purpose-built around a specific operational problem, not a generic connection between two platforms. That’s the mindset that makes integrations deliver.

Security posture is part of the equation

There’s another dimension that doesn’t get enough attention in these conversations: security posture. Every system a user accesses independently is a potential vulnerability – another login, credential set and attack surface.

When systems are properly integrated, users interact through a single point of access, and the security of the underlying platforms reinforces each other rather than compounding risk.

As organizations move toward cloud-first architectures, this becomes even more critical. Integrations need to support modern authentication methods and credential management frameworks.

APIs exposing data across platforms need to be configured deliberately. Not everything should be accessible to every system, and organizations need to be intentional about what they’re exposing and to whom.

This matters especially as AI-powered tools enter the physical security space.

These tools can automate tasks, surface trends and make real-time adjustments in ways that weren’t possible before, but only when the underlying data is integrated, clean and structured.

Without it, AI has nothing meaningful to work with. The promise of intelligent security operations starts with connected systems.

Where this is going

If I had to distill the next three to five years into a single expectation, it’s this: integration will stop being a feature and become a baseline requirement.

Any system brought to market without a clear, well-documented integration pathway will struggle to compete, not because it’s a new idea, but because the operational cost of disconnected systems has become impossible to ignore.

The organizations getting ahead of this aren’t necessarily the ones with the biggest budgets.

They’re the ones asking better questions before they buy, understanding not just whether a system can connect to another, but how it connects, what it can do through that connection and whether that aligns with the specific workflow they’re trying to improve.

Integration done right doesn’t just make your systems talk to each other. It changes what your team is capable of.
